Role Overview:
Based at BCA Automotive’s
Washington Depot, the Washington Ferry Administrator is responsible for general
administration and management of the day-to-day activities of the Washington ferry
office.
Reporting to the Depot Manager, the post
holder’s key responsibilities will be, but not limited to:
Administration:
- Provide general administrative support to the depot and its drivers
- Ensure all personnel files are correct
with HR and Training.
- Assisting with the maintenance of driver
holiday and absence records liaising with Payroll regarding driver
timesheet submission, absence and queries
- Provide driver support at the counter/by
telephone and collate incoming drivers’ documents and distribute
accordingly to the relevant departments.
- Assist with issuing of PPE, truck
equipment, consumables and office supplies – ensuring stock room is
maintained at the required level, including raising associated purchase
orders and invoice checking/reconciliation for the depot
- To ensure fleet information and files are
kept correct and up to date and all VOR information is processed.
- Processing of new starters and exiting
employees for the depot, ensuring relevant paperwork is obtained/completed
and systems are kept up to date.
- Minutes of meetings i.e. investigations
and disciplinary hearings.
- Input monthly KPI data and upload audit data
onto required systems.
- Prepare and input data into weekly
P&L reports and create monthly ferry pre invoice information.
- Recording details of personal injury
accidents and collating associated paperwork including road traffic
accidents where applicable.
- Any
other general administration duties as required.
Person
Specification:
The ideal candidate will possess:
- A
minimum of 5 GCSEs (or equivalent / relevant qualification) grade A to C,
including English and Maths.
- Excellent
communication skills and experience of dealing with external and internal
suppliers & customers.
- Experience
in an administration role in a busy office environment, ideally within the
transport or logistics industry.
- Proficient
user of Microsoft Office, particularly Excel.
- The
ability to plan and prioritise your workload, ensuring that weekly
deadlines are met along with ad-hoc tasks.
