Role Overview:
Based at BCA Automotive’s Doncaster Depot, the Fleet Administrator is responsible for the general administration of the Fleet Department, to ensure the regulatory compliance of a fleet of vehicle transporters.
Reporting ultimately to the Head of Vehicle & VMU Compliance but day to day to the Fleet Admin Supervisor, the post holder’s key responsibilities will be, but not limited to:
- Arranging vehicles services/PMI’s and recording and filing the relevant documentation for these as well as MOT documents.
- The control and application of Road Fund Licenses and toll tags including the completion of monthly statements for the accounts department.
- Maintenance of the fleet computer database and issuing of fleet lists.
- Maintenance of vehicle history files including filing.
- Despatch and collation of legal documents.
- Updating of Motor Insurance Database.
- Processing of London Congestion Charging.
- Arranging and monitoring the usage of hire cars.
- Distribution of fuel cards.
- Liaison with Depot Managers and Supervisors regarding speeding fines and PCN’S.
- The entry of repair invoices onto the fleet database as well as checking for any errors.
- Raising purchase order numbers and assigning the costs to the correct part of the business.
- General administration including filing and any other reasonable duties as required.
Person Specification:
The ideal candidate will possess:
- A minimum of 5 GCSEs (or equivalent) grade A – C, including English and Math's.
- Proficient user of Microsoft Office, particularly Excel, Word and Outlook.
- Experience in an administration role within a busy office environment, preferably in fleet or transport administration.
- Knowledge of road traffic and transport compliance regulations.
- Excellent written and verbal communication skills.
- Strong organisational skills- the ability to plan and prioritise your work load, ensuring that deadlines are met.
- A demonstrable ability to work as part of a team.
- A confidence with answering telephone enquiries.
